Labor Activity Codes

Labor activity codes are used to define the activity performed on a work request or time card entry, for example, On-Site Work, Travel Time, or Training, regardless of the work request type or subType. The values you define here are used by the Logbook and TimeCard modules:

  • Logbook – These values populate the Activity drop-down menu when adding labor costs on the Work Order Financial page for users that have Accounts Payable security rights.

  • TimeCard – These values populate the Activity drop-down menu when adding labor hours on the Time Entry page.

To open the Labor Activity Codes page:

  1. Open the Administration Menu page.

  2. Under the WORK ORDER ADMIN heading, click Labor Activity Codes.

Adding a labor activity code allows you to define an identifier for the type of work performed on a work request. To add a labor activity code:

  1. In the Add Labor Activity Code field, enter the name of the labor activity code.

  2. Click ADD.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

Once you have created a labor activity code, you can further define it or edit it. To edit a labor activity code:

  1. In the Labor Activity Code field, select the labor activity code to edit.

  2. In the External ID field, enter any labor activity code identifier used in conjunction with an external system.

  3. To change the display order, enter a value in the Tab Order field.

    The Tab Order indicates the position, in menus, where this value will be listed. Lower numbered values are displayed toward the top of the list. Values will the same tab order will be sorted alphabetically.

  4. To change the name of the labor activity code, enter a value in the Rename field.

    All historical information will reflect the new value.

  5. In the Type field, select a work request type.

    If you select a work request type, the labor activity code will only be available for work requests of the specified type.

  6. In the TimeCard Extra Column field, select Yes to include the labor activity code on Time Card reports.
  7. In the Income Category field, enter an income category used with an external system.
  8. In the Chart of Accounts field, select a chart of accounts.

  9. In the GL Account field, select a general ledger account.
  10. In the GL Account for Markup field, select a general ledger account for the markup.
  11. In the Tax Status field, select a value to indicate whether this labor activity is taxable.

  12. To change the status, select a value frfrom the Status field.

    Labor activity codes with a status of Inactive are not displayed to users. However, inactivating a labor activity code does not affect the existing work requests that utilize it.

  13. In the Travel Time field, select Yes to indicate that this activity includes travel time (used for external systems).

  14. Click UPDATE.

ClosedDelete a Labor Activity Code

Labor Activity codes that have not been used can be deleted from the system. If a labor activity code has been associated with a work request, it cannot be deleted.

Labor Activity codes that cannot be deleted can be inactivated to prevent users from accessing them.

To delete a labor activity code:

  1. In the Labor Activity Code field, select the labor activity code to delete.

  2. Click Delete.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.
